Conference Reservation Guidelines and Deadlines

classroombuildingUse of White Oak Conference Center by organizations not affiliated with the South Carolina Baptist Convention (SCBC) does not imply alignment or endorsement by the SCBC and must be approved prior to scheduling. Changes can be made to your reservation anytime prior to your arrival at WOCC.

The following conditions apply to all reservation changes and cancellations.  

  1. A group’s advance deposit consists of a $20.00 per person lodging deposit and is based upon the number you guarantee.
  2. A guest’s total cost consists of the registration fee, the total amount of lodging due less the advance deposit, and the total amount due for meals
  3. The final bill is based on the actual number of guests in attendance and consists of the following: 

    • The lodging deposit paid for the last number guaranteed
    • The registration fee
    • The lodging and meals for each person in attendance
    • Any other charges incurred during your stay including copies, refreshments, or other services
    • Less any refund or credit
    • Final payment is due 15 days after the conference end date
       
  4. When cancellations or changes are made: 

    • A full refund is granted 60 days or more prior to your conference start date.
    • One-half refund is granted when cancellations or changes are made 31-59 days prior to your conference start date. 
    • No refund is granted when cancellations or changes are made 30 days or less prior to your conference start date and when guest(s) who are included in your final count do not attend the conference. 

Deadlines for Planning Your Event at White Oak

Each group should provide WOCC with one contact person for the group. All questions, requests and payment should be made by the contact person. Two weeks before you arrive at WOCC the following information should be given to WOCC via fax, mail, or email. Receiving this information is necessary in allowing us to prepare for your event.

  1. Your program or schedule.
  2. Setups/AV request for classrooms, Auditorium, and Lecture Hall-- Prepare a setup request form for each room you will use.
  3. Housing list-- This information is used to prepare your statement of account and print name labels for key cards.
  4. Commuter registration-- Anyone attending an event but not being housed at WOCC is considered a commuter.
  5. Recreation/Activities--WOCC provides many recreation and activity possibilities.
  6. Refreshment Breaks--Several break/snack options are available.
